NAYMA Virtual Assistant offers administrative, executive, and email management support, including:

Calendar and workflow coordination

Administrative support

Task follow-up and priority alignment

Executive systems setup

One-time project services (SOP creation, workflow optimization, system setup)
Service details, pricing, and packages are listed on our website or provided during onboarding.
2. Client Responsibilities
To ensure effective service delivery, you agree to:

Provide accurate information during onboarding

Share necessary access or files required for service (e.g., email access, documents, schedules)

Maintain timely communication
-
Give clear instructions for tasks
-
Respect agreed timelines for payments and approvals
3. Payments & Billing
3.1 Retainer Packages
All monthly plans (Momentum, Flow, Mastery) are billed in advance.
3.2 One-Time Projects
Project fees are paid upfront before work begins, unless otherwise agreed.
3.3 Refunds
Because services involve time-based work, completed hours or completed projects are non-refundable.
Clients may request termination of future services (see Section 7).
4. Confidentiality
Confidentiality is a core value of our services.
We agree to keep all client data, email content, documents, and communication fully confidential.
We do not share, sell, or disclose your information to third parties without your consent unless required by law.
Clients must also refrain from sharing confidential internal processes, templates, or systems provided by NAYMA without permission.
5. Access & Security
If you grant email or system access:

Access will be used only for work related to your service

Your data will not be copied or shared outside of work tasks

You may revoke access at any time

We cannot be held liable for pre-existing vulnerabilities or security issues in your platforms
6. Service Modifications
We reserve the right to:

Modify these Terms
Any changes will be posted on this page and will apply going forward.
7. Termination of Service
You may cancel ongoing retainer services at any time by giving written notice.
Upon termination:

Work completed before cancellation remains billable

Access granted (email login, calendar, tools) must be revoked by the client

No refund is issued for past or completed work
We may also terminate services if:

There is misuse, unethical behavior, or breach of these Terms

The client engages in abusive or harmful conduct

Required information or cooperation is not provided
8. Limitation of Liability
NAYMA Virtual Assistant is not liable for:

Decisions made based on information we organize or manage

Losses due to third-party tools or service outages

Incorrect information supplied by the client

Delays caused by lack of client response or incomplete instructions

Issues arising from unauthorized access to client accounts not caused by us
Our responsibility is limited strictly to the quality of work performed according to the agreed scope.
9. Communication Policy
We communicate through email, WhatsApp, and scheduled calls.
Response times apply within agreed working hours.
Urgent requests outside working hours are subject to availability and may incur additional charges depending on the agreement.
10. Use of Our Materials
All templates, systems, SOPs, and organizational structures created by NAYMA are protected materials.
They may not be resold, reproduced, or distributed without permission.
11. Dispute Resolution
If a concern arises:

Notify us in writing

We will review and respond within a reasonable timeframe

If unresolved, both parties agree to attempt informal resolution before any formal action
12. Acceptance of Terms
By using any NAYMA Virtual Assistant service, you acknowledge that you have read, understood, and agreed to these Terms.
